Building Services Specialist (Architect) – Job Order

DEPARTMENT/OFFICE: Technical Services Department

JOB SUMMARY:

Responsible for providing assistance to the Building Services Officer/ Building Planning & Project Specialist in the planning for the general improvement, upgrading and construction of the building structures and facilities regarding project implementation.  Responsible for carrying out the safety procedures pertaining to the projects.

 

DUTIES AND RESPONSIBILITIES:

Project Documentation and Planning

  • Preparation of comprehensive Scope of Works, Terms of Reference, and technical specifications for projects.
  • Develop independent detailed cost estimates, including cost derivations, to establish the Approved Budget for the Contract (ABC)
  • Create and organize procurement documents, including approved plans, Scope of Work, Terms of Reference, and Cost Estimates.

Project Monitoring and Coordination

  • Inspect and monitor ongoing project implemented by outsourced specialty contractors to ensure compliance with the specifications.
  • Oversee project activities to ensure adherence to safety and health standards, particularly those mandated under the Construction Occupational Safety and Health (COSH) program.
  • Track project progress and prepare regular updates for internal reporting.
  • Attend coordination meetings with outsourced specialty contractors to align on project timelines and deliverables.

JOB SUMMARY

Ensures appropriateness and accuracy of papers to be submitted to the Board/EXCOM and assists the General Counsel in all legal matters affecting the PICCI.

 

DUTIES AND RESPONSIBILITIES

  • Issues notices, drafts agendas and prepares the minutes of all meetings of the PICCI Board of Directors and EXCOM.
  • Ensures the distribution of approved resolutions, as necessary.
  • Prepares contracts as required by Management.
  • Drafts communications to the Monetary Board, as necessary.
  • Reviews legal aspects of all corporate transactions.
  • Performs others duties assigned from time to time.

 

SKILLS/QUALIFICATIONS GUIDE

Education

  • Bachelor’s Degree in Law, including units in management or public administration

Experience

  • Three (3) years of experience in various administrative functions, including the ability to plan, direct and coordinate administrative processes in the implementation of corporate policies

Other Qualifications

  • Member of Integrated Bar of the Philippines (IBP)

Director (Marketing and Events Management Department)

DEPARTMENT: Marketing and Events Management Department
EMPLOYMENT GRADE: EG 28

 

JOB SUMMARY

  • To formulate, coordinate, implement and exercise general supervision of a system as well as an integrated marketing plan and reservations system to maximize implementation of programs and delivery of PICC services as required by clients.

 

DUTIES AND RESPONSIBILITIES

  • Develops a program to market and promote the PICC as a premier venue for meetings, conventions, exhibitions and other special events;
  • Formulates and directly supervises the implementation of the over-all work program and strategies of the Department;
  • Prepares the Department’s annual budget and submit the same to management for approval;
  • Prepares and submits regular reports;
  • Manages the daily operations of the Department in its delivery of comprehensive events facilities and services as required by the clients;
  • Regularly reviews and analyses operating systems of the Department and applies corrective measures if necessary;
  • Presides over regular Departmental meetings as well as inter-department coordination meetings/debriefings relative to events;
  • Reviews and recommends all event contracts prior to the approval of the General Manager;
  • Ensures the timely payments and collections of accounts due to PICC;
  • Establishes goals and standards and measured performance against the predetermined goals;
  • Ensures the strict observance and implementation of PICC policies, rules and regulations for events;
  • Institutes a centralize reservations system;
  • Coordinates with relevant offices and agencies to ensure efficient delivery of services as required by the clients;
  • Develops and maintains PICC-client relations;
  • Spearheads and/or organizes the conduct of promotional activities such as marketing presentations, sales missions, trade fair participations, attendance promotions, etc.;
  • Formulates, develops and implements a public relation, advertising and publicity program of PICCI in coordination with the approved contracted agency;
  • Coordinates event requirements and special marketing initiatives with the other Departments and the Food Concessionaire;
  • Encourages local associations to bid for their respective events and assists the same in the bid paper preparation in cooperation with other pertinent agencies and entities.

 

SKILLS/QUALIFICATIONS GUIDE

Education:

  • Bachelor’s Degree Major in Marketing, Mass Communication, Business Administration or other fields related to the job.

Experience:

  • Eight (8) years of relevant experience from an event management company, hotel, tourism-oriented organizations or other institutions engaged in organizing events and/or sales and marketing; six (6) years of which involves managing/supervising personnel.
