Administrative Assistant (Internal Audit Service Office)

DUTIES AND RESPONSIBILITIES’

 

  1. Conducts researches to obtain background information on the activities to be audited under general supervision ;
  2. Discusses research findings with the Internal Auditors of the IASO ;
  3. Performs standard auditing work ;
  4. Drafts report on the results of audit ;
  5. Assists the Internal Auditors in the conduct of internal audit ;
  6. Prepares draft of audit report and ensure that working papers are adequately documented and audit evidence is sufficient ;
  7. Provide support in following up replies to ensure timely and proper disposition on audit findings ;
  8. Communicates audit results to concerned personnel and department ;
  9. Drafts/encodes communications, minutes of the meeting, etc. ; and
  10. Perform such other related duties and responsibilities as may be assigned or delegated by the Internal Auditors or as may be required by law.

 

MINIMUM SKILLS/QUALIFICATION GUIDE

 

Education: 

  • Bachelor’s degree relevant to the job
    (Law, Accounting, Public Administration, Criminology, Information Technology/Computer Science and other disciplines related to the M.I.C.E. industry)

 

Experience: 

  • Minimum of one (1) year relevant experience in position involving Internal Auditing, Administrative or Criminal Investigation and/or Forensics (e.g. Accounting, = Information Technology, ISO Management Systems and other disciplines related to the M.I.C.E. industry

 

Training:

Director (Marketing and Events Management Department)

DEPARTMENT: Marketing and Events Management Department

JOB SUMMARY

  • To formulate, coordinate, implement and exercise general supervision of a system as well as an integrated marketing plan and reservations system to maximize implementation of programs and delivery of PICC services as required by clients.

 

DUTIES AND RESPONSIBILITIES

  • Develops a program to market and promote the PICC as a premier venue for meetings, conventions, exhibitions and other special events;
  • Formulates and directly supervises the implementation of the over-all work program and strategies of the Department;
  • Prepares the Department’s annual budget and submit the same to management for approval;
  • Prepares and submits regular reports;
  • Manages the daily operations of the Department in its delivery of comprehensive events facilities and services as required by the clients;
  • Regularly reviews and analyses operating systems of the Department and applies corrective measures if necessary;
  • Presides over regular Departmental meetings as well as inter-department coordination meetings/debriefings relative to events;
  • Reviews and recommends all event contracts prior to the approval of the General Manager;
  • Ensures the timely payments and collections of accounts due to PICC;
  • Establishes goals and standards and measured performance against the predetermined goals;
  • Ensures the strict observance and implementation of PICC policies, rules and regulations for events;
  • Institutes a centralize reservations system;
  • Coordinates with relevant offices and agencies to ensure efficient delivery of services as required by the clients;
  • Develops and maintains PICC-client relations;
  • Spearheads and/or organizes the conduct of promotional activities such as marketing presentations, sales missions, trade fair participations, attendance promotions, etc.;
  • Formulates, develops and implements a public relation, advertising and publicity program of PICCI in coordination with the approved contracted agency;
  • Coordinates event requirements and special marketing initiatives with the other Departments and the Food Concessionaire;
  • Encourages local associations to bid for their respective events and assists the same in the bid paper preparation in cooperation with other pertinent agencies and entities.

 

SKILLS/QUALIFICATIONS GUIDE

Education:

  • Bachelor’s Degree Major in Marketing, Mass Communication, Business Administration or other fields related to the job.

Experience:

  • Eight (8) years of relevant experience from an event management company, hotel, tourism-oriented organizations or other institutions engaged in organizing events and/or sales and marketing; six (6) years of which involves managing/supervising personnel.

DUTIES AND RESPONSIBILITIES

  • Provides assistance in the daily operation, regular preventive/corrective maintenance and emergency repair of AC/ventilating units and other electro-mechanical equipment
  • Monitors operation of AC equipment/system as well as the actual room air temperature of offices and event venues
  • Implement, complies with, and assists in work safety, health and environment policies and procedures, programs and government rules and regulations
  • Assists in the periodic inventory-taking of various mechanical supplies, parts/materials and other electro-mechanical equipment
  • Attends to un-programmed services, event-related requirements and any other works/activities that would be assigned.

 

MINIMUM SKILLS/QUALIFICATIONS

 

Education:

  • Graduate of Refrigeration and Air-Conditioning Technology, a 3-year Vocational/Technical course or undergraduate of BS Mechanical Engineering

 

Experience: 

  • At least 2-year work experience in the Operation/Maintenance
  • Repair and installation of various air-conditioning, refrigerating, and ventilating equipment

 

Training:

  • Must have attended seminar/s, training/s on operation and maintenance and/or repair/installations of multi-split, inverter-type packaged air-conditioning units and/or its allied equipment.

  4. Maintain a systematic recording of pertinent information and filing of office documents and related reports;
  5. Collect parking tickets, charge prescribed PICC parking fees;
  6. Communicate professionally at all times with guests, client, and teammates;
  7. Perform other work-related duties that may be assigned by the immediate supervisor from time to time.
